Reduce Data Entry with Field Automation

Field update workflows set or change field values automatically based on conditions, related record data, or formulas. They eliminate repetitive data entry and enforce consistency.

Step 1: Identify the Source

Determine where the value comes from: a related record (e.g., customer's payment terms), a formula (e.g., quantity × unit price), or a constant. Create custom fields if the target field doesn't exist.

Step 2: Add Set Field Value Action

In your workflow, add a "Set Field Value" action. Choose the target field and the source. For related record lookups, use "Sublist" or "Record" type and specify the path (e.g., customer.terms).

Step 3: Add Conditions

Use workflow conditions so the action runs only when appropriate—e.g., only when the source field is empty, or when a related record exists. Avoid overwriting user-entered data unintentionally.
